4 Google apps work significantly better with Gemini AI.
For most applications, AI is often seen as an added feature, or even more disruptive than helpful. However, when implemented correctly, AI can still become a powerful assistant in everyday tasks. Google is integrating Gemini into almost all of its services, and while not always welcome, in the four applications below, Gemini truly makes a positive difference.
Gmail
According to many users, Gmail is where Gemini is most effectively implemented within the Google ecosystem, with features that offer clear practical value. The most noticeable impact comes from the 'Help me write' tool. Beyond simply suggesting words or automatically completing sentences, Gemini can generate entire email drafts from a short request. Users simply describe their needs, such as writing a formal apology letter to a client or sending a friendly lunch invitation to a group, and Gemini will prepare a complete and polished email.
This capability also extends to editing existing content, allowing you to shorten lengthy emails or adjust the tone to better suit the recipient, from professional to detailed and explanatory.
Gemini also significantly reduces the burden of 'email overload' thanks to its intelligent summarization capabilities. Long email chains with many participants can be instantly condensed, highlighting important decisions and outstanding tasks. This feature is especially useful for those returning from vacation or joining a project midway, as they don't need to scroll through dozens of emails to stay informed. Key information such as proposed meeting times or specific deadlines will be placed at the top of the conversation, making it clear and easy to follow.
In addition, the Gemini dashboard in Gmail acts as an intelligent assistant for the entire inbox. Instead of searching by keywords in the traditional way, users can ask questions in natural language, such as the purchase order number of the most recent invoice from a specific supplier, or the time of an upcoming flight. Gemini will scan the email for the correct answer and display it directly, often with a link to the original email for verification. When working as expected, this method is much faster and more efficient than manual searching.
Google Meet
Gemini's most notable feature in Google Meet is its 'Take notes for me' function, which acts like an automated secretary. Throughout the meeting, Gemini listens and takes notes in real time, focusing on the core content rather than transcribing every word. The system summarizes key points, decisions made, and assigned tasks for each participant. After the meeting ends, all these notes are automatically saved to Google Docs and attached to the meeting calendar, ensuring a reliable record is always available even if no one is assigned to take notes.
For those who join meetings late, the 'Ask Gemini' feature allows for quick, private updates without interrupting the discussion. Simply ask questions like what's being discussed or whether the budget has been mentioned, and Gemini will review what's already happened and provide a brief summary to help you catch up.
Furthermore, Gemini subtly supports studio-quality audio and video enhancements, making meetings look and sound more professional. The system can separate voices from background noise more effectively than conventional filters and automatically adjust lighting to compensate for poor environmental conditions.
Google Docs
When Google announced the integration of AI into Workspace, many worried that Gemini would become a terrifying version of 'Clippy'. In fact, that feeling was partly true, but at least in Google Docs, Gemini has proven quite useful. With 'Help me write', users can create outlines, blog posts, or project proposals from scratch with just a few simple instructions. Gemini also does a good job of expanding bullet points into coherent paragraphs, transforming disjointed notes into complete content.
Gemini's generation capabilities aren't limited to text; they extend to images, allowing for the creation of illustrations directly within documents without needing to search external image libraries.
The editing and refinement phase is where Gemini truly helps increase productivity. Users can select a specific passage and ask the AI to rephrase it for clarity, correct grammar errors, or completely change the writing style. A complex technical passage can be rewritten to be easily understood by the general reader, or an informal internal memo can be elevated to a style suitable for leadership. Gemini can also quickly summarize long documents, which is very useful when reviewing reports or research papers, and this summary can even be inserted directly into the document as an abstract or executive summary.
Another notable strength is its ability to access data across the entire Google Workspace ecosystem. Through the side panel, users can request Gemini to reference a specific email thread or a file in Drive and include that information in the document they are working on. This makes writing project progress reports or compiling data much faster and more efficient.
Google Drive
Finally, there's Google Drive, where Gemini proved far more useful than initially expected. Instead of having to remember file names or navigate through a complex folder system, Gemini offers natural language search and querying based on the file's content. Users can ask broad questions like "What are the main differences between the 2024 and 2025 marketing plans?", and Gemini will scan relevant documents, PDFs, or slides to provide a comprehensive answer, along with specific references.
Interestingly, users can extract information without opening the file. Simply select a long PDF contract or a dense research report, then ask Gemini to summarize the contract termination clause or list the competitors mentioned; the AI will process the content and provide the results instantly.
Gemini also supports more efficient Drive management by analyzing the contents of unorganized folders and suggesting better organization, or suggesting file names that accurately reflect document content.
