How to print an Excel file on an A4 sheet of paper

1. Use the preview
This is an important step.With it, you can avoid a lot of problems before printing.If you print a spreadsheet and then check it out, you could waste a lot of paper.
Depending on your version of Excel, you can go to File> Print Preview, File> Print> Print Preview, File> Print.
Or press the keyboard shortcut Ctrl + P on all versions to preview the worksheet before printing.If everything looks good, you can press the Print button.On the contrary, continue to adjust in the ways listed below.
2. Switch to Page Layout view
Page Layout view tells you what the document will look like when it's printed on paper while you're working on it.This is not the perfect view for working with spreadsheets, but it helps you make the appropriate adjustments so that rows and columns fit within the space you have.
To enable this mode, go to View> Page Layout.
3. Change the orientation of the printed page
If the worksheet is too wide, the orientation of the paper is more appropriate.Similarly, portrait paper will work well for spreadsheets with an oversized height.To choose the paper orientation for the worksheet, go to Page Setup menu> Page or Page Layout> Orientation and choose Portrait (Portrait) or Landscape (Landscape).
4. Delete or hide rows / columns
On large spreadsheets, there are often lines or columns of information that are unnecessary or outdated, or you simply don't need to print it in certain situations.These rows or columns take up a significant amount of space on the page and can make it difficult to fit the spreadsheet onto the A4 page.
If the spreadsheet has columns / rows you no longer need, simply select and delete them.
If they contain information you think you might need at some point, you can hide them by right-clicking on the row or column and selecting Hide.To display the data again, select from the row or column above / left to the row or column below / to the right of the hidden rows or columns, right click, and select Unhide.
5. Use Page Break
Similar to Word word processor, you can insert page breaks to break the page where you want it instead of having Excel break the page automatically.Just use Insert> Page Breaks or Page Layout> Breaks> Insert Page Break to tell Excel where you want to split the page.
6. Change the print area
If the spreadsheet has a large amount of data and you only need to print a few of them, you can print only a part of the worksheet.Select the cells you want to print and click the Print button.Change the Print What option to Selection.In Excel 2016, go to File> Print and choose Print Selection from the drop-down menu located below the word Setttings.The preview will then display only the data area you selected.
