Along with the current online data storage tools, Google Drive is one of the software that many people choose. You can download all types of files, and synchronize the data at every device from your computer, phone, tablet via a personal account. Besides, Google Drive has integrated many unique features, supporting users to work and increase work productivity. In the article below, Network Administrator will summarize tips when we work with Google Drive.
1. Synchronize Google Drive data with PC:
After we install Google Drive for PC or Mac, you can access documents from your computer. As soon as we download the file online to Google Drive, all data will be synchronized with Google Drive on the computer. If there is no Internet connection, you can still access documents or add certain files. When the network comes back, Google Drive will sync to the cloud.

2. Use offline features of Google Drive:
Even if there is no network connection available, you can still work on Google Drive when the offline feature is turned on.
Step 1:
At the interface of Google Drive, click on the outermost cog icon , on the right of the screen and select Install .
Step 2:
In the Settings interface, at the General section of the Offline tab, check the box that syncs Google Docs, worksheets, slides and drawings to this computer so you can edit offline . Google Drive gadget will be added to Chrome .
Soon, you will install the Google Docs Offline utility. Click Add gadget to install. Finally press Done .
Step 3:
If the installation is successful, you will receive an offline activity notification as shown below:
Google will download all Doc files, spreadsheets, and drawings if you have installed Google Drive installed in you. While it is not possible to view videos or photos as when online, you can view, edit and create files on Sheet, Doc, . normally.
3. Editing PDF content on Google Drive:
Google Drive allows scanning and finding words in PDF files or image files. Besides, we can open and edit (image or PDF file after converting to text) files by right-clicking on the file and selecting Open with then selecting Google Sheet.

4. Find files more easily in Google Drive:
If you do not know the tricks when searching on Google Drive, you will take a lot of time to find the right file you need, especially with the number of files stored a lot.
In the Search bar on Google Drive we can search by PDF, Text documents, Spreadsheets, Presentations, Photos and images, Videos.
Also in this search bar, enter the command line owner: person- send@gmail.com to find shared files and click the magnifying glass icon next to it.
Or enter before: year-month-day or after: year-month-day (year to date 2016) to limit search to before or after a specified date. If the Recycle Bin has a file that matches the date you searched for, Drive will also notify you below.
It is also possible to enter title: phrase to find by file name and to exclude results that contain that phrase in other parts of the file.

5. Scan photos on Google Drive:
With the Google Drive app on Android, we can use the phone as an image scanner.
- Download Google Drive for Android
You open the Google Drive app on your Android device. In the main interface, click the plus symbol . Then click Scan (Scan).
6. Search for old versions on Google Drive:
Every file you upload to Google Drive is saved, including the new or old version of the file. We can search for files we need the fastest or in case of selecting which version of the file to share with everyone.
Step 1:
In the file you want to check the old version, click the Version Manager .
Step 2:
Soon a list of versions of the file appears and is listed by the date you upload.
7. Drafting voice text:
Google Docs has a feature that supports users to edit text by voice. At the Google Docs content editor interface, click on Tools and select Voice input .

8. Find files that take up space on Google Drive:
To avoid using most of the capacity limit that Google Drive allows, you should check the entire data reserve and delete heavy files, no need to use.
Method 1:
You can access the link below to see the list of files with the most capacity, in descending order.
- https://drive.google.com/drive/u/0/quota
Here, you will be able to check which files are large and have no need to use them to delete them from Google Drive.
Click on the Capacity quota item used to switch to the list of small files.
Method 2:
In the Google Drive interface, you click on the volume report item in the left menu column and then select the small green button next to Drive. Immediately after that also appeared interface list files with each file size on Drive.
9. Insert file link in Drive:
In the content editor in Google Docs, we can add any web link to the text content. This will make access to a website easier.
In the text, you highlight the text to insert the link and click Insert on the toolbar, then select Link to insert the link as usual.
Google will automatically check the link similar to the keyword you blacked out, or we can paste the website link into the frame, or immediately insert the text link on Google Drive. Finally click Apply to finish.
