How to Share and Collaborate in Gamma

To collaborate in Gamma, open the document, select Share, and choose who can open it and whether they can view, comment, or edit. Before copying the link, check both the document's link settings and any workspace access that applies. Choose the right Gamma permission

How to require a password

Password protection adds a second gate to a shared Gamma document. According to Gamma's current help documentation, this option is available on Pro plans and higher and applies to Gamma documents, not Gamma sites.

  1. Open the document and select Share.

How workspace access affects a document

A document can have access settings for different audiences, such as workspace members and people with the link. A restrictive link setting does not necessarily remove access already granted to workspace members. Review each audience listed in the Share panel before treating a document as private.

To limit workspace access, open Share, find the workspace-member audience, and select No access if that option is available to you. Workspace administrators may also control roles and broader sharing policies, so ask an admin to review the workspace configuration if a setting is unavailable or keeps reverting.

A safe collaboration setup

  1. Start private. Draft the document before enabling broad link access.
  2. Invite editors by need. Give edit rights only to active collaborators.
  3. Use comments for approval. Reviewers can suggest changes without overwriting the draft.
  4. Test the link. Open it in a private browser window or ask a recipient to confirm access.

Troubleshoot sharing problems

The recipient cannot open the document

A colleague can view but not edit

Open the Share panel and verify that the colleague or their audience has Edit permission rather than View or Comment. If they belong to the workspace, check the workspace-member permission and ask an administrator about role restrictions.

Someone can still access a document set to private

Check every audience in the Share panel. The person may have direct access or workspace-member access even though public link access is disabled. Remove or restrict the applicable entry, then test again with the affected account.
