A Canva Brand Kit keeps approved colors, fonts, logos, and other assets together so you can reuse them in designs. Brand voice guidelines can also guide Magic Write. These tools make consistency easier, but they do not guarantee that every AI-generated image, layout, or sentence will follow your rules.
Prepare your brand assets
Before opening Canva, gather your logo files, exact color codes, approved fonts, and a few examples of published copy that sound like your business. Use assets you have permission to upload and reuse. Brand features and editing permissions depend on your plan and team role; check what your account includes before building a workflow around them.
Set up the visual elements
From Canva's homepage, open Brand, then Brand Kits. Select the kit you want to edit. Keep one kit per brand where your account supports multiple kits.
Colors
Add the exact hex codes for your primary, secondary, and neutral colors. Label their purpose, such as background, body text, or accent. Check that text remains readable against its background; a brand-approved color combination can still have poor contrast.
Fonts
Choose approved heading and body fonts, with a separate accent style only if needed. If your plan supports font uploads, upload the licensed font files rather than choosing a vaguely similar alternative. See how to add fonts to Canva for the upload workflow.
Logos and images
Upload the full-color logo and approved light, dark, and icon-only variants. Use clear file names so a designer can choose the correct version. Add product photos, team photos, and reusable graphics to the appropriate brand categories. Do not assume an AI tool will select these files automatically: select the required assets yourself and check the finished design.
Add and apply your brand voice
In the selected Brand Kit, find Brand voice and add a short description of your personality and writing style. Include the audience, preferred tone, phrases to avoid, and a brief example. Follow the limit shown in the field.
For a fictional coffee shop, a useful instruction might be: “Write in a warm, direct voice for local coffee drinkers. Use everyday language and short sentences. Mention a specific drink or visit rather than vague lifestyle promises. Avoid superlatives and invented awards.” This is a starting point, not a claim about actual AI output.
In the editor, open Brand, find the voice, and choose Generate in this brand voice when available. You can also apply a brand voice through Magic Write's text toolbar. Canva's brand voice instructions explain the supported workflow and permissions. A separately saved personal writing voice uses a different workflow; see saving a writing voice in Magic Write.
Test the kit on a real design
- Create a small design for a real task, such as a social post announcing a seasonal offer.
- Apply the approved palette and fonts, then place the correct logo and photo.
- Generate a draft caption with your brand voice selected. Supply the actual offer, audience, and call to action in the prompt.
- Compare the result with your approved assets and writing examples. Correct mismatched fonts, distorted logos, awkward wording, and unsupported claims.
- Preview the exported file on a phone as well as at full size. Check readability, cropping, and the destination of any links.
If the result is off-brand, first check the selected kit and voice, then make the prompt more specific. AI image generation is a separate task: clearer Canva image prompts can help, but brand assets and generated imagery still need manual review.
Prevent mix-ups between clients
Keep client assets in clearly named kits and folders. Confirm the client before starting and before exporting, and check the logo at a readable size. For recurring work, use an approved template and finish one client's batch before switching where practical. A colleague's final check can catch mistakes that familiarity makes easy to miss.
Check before publishing
- Colors, fonts, logo variant, and photos match the intended brand.
- Copy sounds appropriate for the audience and includes a clear, accurate call to action.
- Prices, offers, dates, testimonials, and business claims are verified.
- Images have suitable alternative text, videos have captions where needed, and text is readable on mobile.
- The export contains no placeholder content or assets from another client.
Update the kit when the brand changes. Keep a longer brand guide as a reference for people, and use concise, tested instructions in Canva for everyday production.
