How to Use Microsoft 365 for Free—or Install It with an Eligible Account

There are many ways to register for Office 365, such as using the Office account provided by the school to teachers and students, or using a developer account to.

Table of Contents

There is no general Microsoft 365 desktop subscription that is “free for life.” Legitimate no-cost access depends on the product and your eligibility: anyone can use Microsoft 365 web apps with a Microsoft account, eligible students and educators may receive an education plan, and some work or school accounts include licensed desktop apps. A Microsoft 365 Developer Program sandbox is for qualified development and testing—not a personal Office license.

Option 1: Use Word, Excel, and PowerPoint on the web

  1. Go to Microsoft365.com.
  2. Sign in with a Microsoft account, or create one through Microsoft's official sign-up flow.
  3. Open Word, Excel, PowerPoint, OneNote, or another available web app from the app launcher.
  4. Store documents in the associated OneDrive account or download a copy when the web app offers that format.

This is the simplest legitimate free option. Web apps require a supported browser and internet access for most workflows, and some advanced desktop features, add-ins, macros, data tools, and offline capabilities are unavailable.

Option 2: Check Microsoft 365 Education eligibility

  1. Open Microsoft's Microsoft 365 Education page.
  2. Enter the email address issued by your school and follow the institution-verification steps.
  3. If the institution manages licensing centrally, ask its IT department which services and apps are included.
  4. After signing in, check the account portal. If Install apps is absent, the assigned plan may provide only web apps or the administrator may have disabled self-service installation.

Use only an account issued to you. Do not buy “school accounts,” use another person's credentials, or create false student or educator information. The institution controls the account and can remove access when eligibility ends.

Install Microsoft 365 desktop apps with a licensed account

  1. Go to m365.cloud.microsoft/apps and sign in with the Microsoft, work, or school account associated with the license.
  2. Select Install apps if it appears, then choose the Microsoft 365 apps option offered by the portal.
  3. Open the downloaded installer and follow the prompts. On a managed computer, you may need administrator approval or installation through your organization's software center.
  4. Open an Office app and sign in with the same licensed account to activate it.

Download the installer only from Microsoft or a deployment system managed by your organization. Product keys, activators, modified installers, and preconfigured accounts sold as “lifetime Microsoft 365” can violate licensing terms and may expose the computer or documents to malware and account theft.

Why a Developer Program sandbox is not free personal Office

The Microsoft 365 Developer Program can provide eligible developers with a sandbox tenant for building and testing integrations. Access rules have changed over time. A sandbox is temporary, may expire if Microsoft does not detect qualifying development activity, and should not contain personal or production data. Automatic renewal is not a lifetime entitlement, and using the environment primarily as a free productivity subscription does not match its purpose.

Troubleshooting account and installation problems

  • No Install apps button: verify that you signed in with the licensed account, then ask the work or school administrator whether desktop apps are included.
  • Wrong account activates Office: sign out of Office, restart the app, and sign in with the account shown in the subscription or organizational portal.
  • Installation blocked: remove incompatible older Office installations only after confirming license and backup requirements; managed devices may require IT support.
  • Subscription ended: the desktop apps can enter reduced-functionality mode. Files remain ordinary documents, but editing rights depend on a valid license or a compatible alternative.
