What are Workspace Agents? A guide to creating automated AI agents for your business.

Learn about OpenAI Workspace Agents and how to create AI agents that automatically work with Slack, Google Drive, and other business tools.

OpenAI is pushing AI in the workplace to a new level with the concept of Workspace Agents . While users were previously familiar with chatbots or Custom GPTs to assist with individual tasks, AI is now being positioned as a 'digital colleague' that can directly participate in the workflow.

Workspace Agents allows users to create or use pre-existing agents directly within ChatGPT, then connect them to business tools such as Slack, Google Drive, Microsoft Office, or Salesforce. Importantly, these agents not only answer questions but can also proactively perform tasks, from composing emails and compiling data to building complete reports.

How Workspace Agents work in practice

Unlike traditional chatbot experiences, Workspace Agents act as an intermediary connecting people to the entire ecosystem of work tools.

For example, when implemented in Slack, an agent can read the conversation content, retrieve data from relevant systems, and then provide a response or directly handle the task. Users simply submit their request, and the agent handles the rest, even after they have left the conversation.

Notably, these agents can work through multiple steps, rather than stopping after a single response. This allows them to handle complex processes that previously required multiple people and tools working together.

The biggest change lies in how AI 'exists' within the system. Previously, AI primarily operated in sessions, meaning that when the user stopped interacting, the process ended. With Workspace Agents, AI runs continuously on the Codex platform. This allows agents to run code, process data, save state, and continue their work over time.

A reporting agent, for example, can automatically collect weekly data, analyze it, generate charts, and send results to the team without requiring any re-activation. This marks a shift from 'AI support' to 'AI execution'.

How to use Workspace Agents

To use Workspace Agents, users can access the Agents tab in the ChatGPT interface, which acts as a shared library for the entire team. Here, agents can be created or reused from those previously built by colleagues.

The basic process typically begins with clearly defining the tasks to be automated. Then, the user creates an agent, connects it to relevant data sources or tools, and establishes appropriate access permissions. Once complete, the agent can be deployed to a work environment such as Slack or internal systems.

The key point is that all activities are controlled within the scope of authority, ensuring that the agent only performs what is permitted.

One of the most valuable features of Workspace Agents is its ability to schedule and remember tasks over time. Instead of having to run the agent every time, users can set it to perform recurring tasks.

Tasks such as weekly reporting, KPI analysis, or data aggregation from multiple sources become much simpler. Over time, agents can also be adapted to better suit the working styles of each team, rather than simply following a fixed set of rules.

Security and control problem

Because of their ability to access multiple systems, Workspace Agents are designed with fairly tight control mechanisms. Administrators can decide who can create agents, who can use them, and what data agents are allowed to access.

In particular, for critical actions such as sending emails or editing data, the system defaults to requiring human confirmation. This helps minimize the risks associated with AI's deep involvement in operational processes.

Additionally, businesses can monitor all agent activity, from configuration to run history, to ensure transparency and security.

When AI becomes part of the organization

The most noteworthy aspect of Workspace Agents lies not in the technology itself, but in how it changes the role of AI in businesses.

Instead of being a personal tool, AI is now becoming a shared resource, where agents are built, shared, and reused across the organization. Each agent can take on a specific role, from marketing and sales to operations or finance.

This approach significantly reduces the time required for human-system collaboration and creates a new layer of automation within the workflow. Workspace Agents clearly demonstrate the next direction for AI in businesses: not just supporting, but directly participating in the work.

The difference no longer lies in how intelligently the AI responds, but in what it can actually do in practice. When properly deployed, these agents can become true 'digital colleagues,' helping businesses operate faster, more efficiently, and more effectively.
